Tailos App Privacy Policy

Effective date: 2026-11-05
Last updated: 2026-11-05

This Privacy Policy explains how Tailos Inc. ("Tailos," "we," "us," or "our") collects, uses, shares, and protects information when you use the Tailos mobile application (the "App") on Android or iOS.

This policy applies only to the App. Our website, online store, and marketing activities are covered by our separate website privacy policy at http://tailos.com/pages/privacy-policy

If you have questions, contact us using the details in the Contact Us section.

1. Who the App Is For

The App is a business tool. It is provided to hospitality and commercial customers (for example, hotels and other properties) that use Rosie, the Tailos robotic vacuum, and to the team members at those properties who manage Rosie's cleaning operations.

App accounts are created for you by your organization's administrator or by Tailos on your organization's behalf. The App does not offer public sign-up.

Where we provide the App under an agreement with your employer or organization, we process your account information to deliver the service to that organization. Your organization's administrators can see and manage certain information about your account, as described below.

2. Information We Collect

We collect only the information needed to operate the App, support our customers, and improve Rosie and the App.

2.1 Account and Profile Information

When your organization sets up your account, or when you update your profile in the App, we collect:

  • First and last name
  • Work email address
  • Phone number
  • Job title and role (for example, team member or administrator)
  • The property and organization you are associated with
  • Notification preferences (for example, whether you want SMS alerts and which alert types)

2.2 Login and Authentication Information

  • Your email address and password, used to sign in. Passwords are handled by our authentication provider (Amazon Cognito) and are not stored in plain text by Tailos.
  • Authentication tokens that keep you signed in. These are stored on your device.
  • Verification codes sent to your email when you reset your password.

2.3 Robot and Operational Data

The App displays and works with operational data generated by Rosie at your property, including:

  • Robot details, such as robot names, serial or device identifiers, network (MAC) addresses, status, and settings
  • Cleaning run records, such as start and end times, duration, coverage rate, coverage percentage, run state, and component telemetry
  • Cleaning maps built from Rosie's sensors. These maps show floor layouts and sensor layers of areas Rosie cleans. They do not contain images of people and are not designed to identify individuals.
  • Property-level statistics, cleaning goals, and insights
  • Run quality ratings and feedback associated with cleaning runs

This information relates primarily to Rosie and to your property, not to you personally. Where it is linked to your account (for example, if you rename a robot), it is associated with your user record.

Access to property data, including maps, is restricted to authorized members of that property's team, their organization, and authorized Tailos personnel.

2.4 SMS Alerts

If you turn on SMS notifications, we use your phone number to send you robot and operational alerts by text message.

2.5 App Usage and Diagnostic Information

We automatically collect limited technical information to understand how the App is used, fix problems, and improve performance:

  • App activity: Screens viewed and actions taken in the App (for example, opening a robot's details or refreshing a list), along with timestamps.
  • Identifiers: Your Tailos user ID, property ID, and organization ID, plus an app instance identifier generated by Firebase.
  • Device information: Device model, operating system version, App version, language, and general region derived from IP address.
  • Crash and performance data: Crash logs, error reports, and performance measurements such as app start time and network request timing.

We do not use this information for advertising.

2.6 Information Stored Only on Your Device

Some features use information that stays on your device and is not sent to Tailos:

  • Wi-Fi setup: To connect Rosie to a network, you may enter a Wi-Fi network name and password. The App uses this to generate a QR code on your screen that Rosie scans. This Wi-Fi information is not sent to or stored on Tailos servers. While the QR code is displayed, the App may temporarily raise your screen brightness so Rosie can read it, then restore your previous setting.
  • Cached data: The App stores your current profile and selected property on your device so it loads faster, and caches images.

2.7 Information You Choose to Share With Support

If you contact Tailos Support from the App by phone or text message, your device's phone or messaging app opens with our support number. For text messages, the App may pre-fill your name and property name so we can help you faster. Any information you send is handled according to this policy.

The App can also open your email app with a pre-written message to your IT department containing robot names and network (MAC) addresses. You choose whether and to whom to send it.

2.8 Information We Do Not Collect

The App does not access your precise or approximate device location, camera, microphone, contacts, photos, or files. The App does not collect payment information.

3. How We Use Information

We use the information described above to:

  • Provide the App, including signing you in, showing your property's robots, runs, maps, and statistics, and letting you manage your profile and team
  • Personalize the App, such as greeting you by name and showing the properties, robots, and team members relevant to you
  • Send SMS alerts you have chosen to receive
  • Provide customer support and respond to your requests
  • Monitor and improve Rosie's cleaning performance and the App's reliability and features
  • Understand how customers use the App so we can support their success with Rosie
  • Detect, investigate, and prevent security incidents, fraud, and misuse
  • Comply with legal obligations and enforce our agreements

We do not sell your personal information, and we do not use it for targeted advertising.

4. How We Share Information

We share information only as described below.

4.1 Your Organization

Administrators and authorized team members at your property or organization can see information such as your name, email, phone number, job title, and role, and can add, update, or remove team members. They can also see the property's robot and operational data.

4.2 Service Providers

We use trusted service providers that process information on our behalf, under contracts that limit their use of the information to providing services to us:

Provider Purpose Information involved
Amazon Web Services (including Amazon Cognito) Cloud hosting and user authentication Account information, login credentials, operational data
Tiger Data (Timescale) Database hosting Account information, property associations, operational data
Google Firebase (Analytics, Crashlytics, Performance Monitoring, Cloud Functions) App analytics, crash reporting, performance monitoring, and backend functions App usage, identifiers, device information, crash and performance data

HubSpot Customer relationship management Business contact details (such as name and email) that may be synced from Vitally. HubSpot does not receive data directly from the App.
Zendesk Customer support ticketing and help center Name, email address, phone number, and the content of messages you send to Tailos Support; robot and property details related to support issues
Google (YouTube) Playing training videos in the App's Learning Center See "Third-Party Content" below

4.3 Legal and Safety Reasons

We may disclose information if we believe in good faith that it is required by law, regulation, legal process, or a government request, or to protect the rights, property, or safety of Tailos, our customers, users, or others.

4.4 Business Transfers

If Tailos is involved in a merger, acquisition, financing, reorganization, or sale of assets, information may be transferred as part of that transaction, subject to this policy.

4.5 With Your Consent

We may share information for other purposes with your consent or at your direction.

5. Third-Party Content

The App's Learning Center plays training videos hosted on YouTube using YouTube's privacy-enhanced mode. When you play a video, YouTube (Google) may collect information according to the Google Privacy Policy (https://policies.google.com/privacy?hl=en-US). Tailos does not control how YouTube processes that information.

6. Tracking

The App does not track you across apps or websites owned by other companies, and does not share your information with data brokers or advertising networks. Analytics in the App are used only to operate and improve the Tailos service.

7. Data Retention

We keep personal information only as long as needed for the purposes in this policy:

  • Account and profile information: For as long as your account is active. After your account is deleted, we delete or anonymize your personal information within 30 days, except where we must keep it longer for legal, security, or contractual reasons.
  • Robot and operational data: Cleaning run records, maps, telemetry, and related statistics describe Rosie and the property, not individual users. Tailos retains this data to operate, support, and improve Rosie and the Tailos platform, including after your account is deleted or your organization's service agreement ends. Where this data was associated with your user account, that association is removed when your account is deleted, and the data is retained in de-identified or aggregated form.
  • Analytics data: Retained by Google Firebase for up to 14 months.
  • Crash reports: Retained by Firebase Crashlytics for up to 90 days.
  • Support communications: For as long as needed to resolve your request and maintain service records.

8. Deleting Your Account and Data

You can request deletion of your Tailos App account and associated personal information at any time. Step-by-step instructions are available in our help center: Delete Your Tailos App Account.

You can make a request in either of these ways:

  1. Ask your administrator: Your property's Tailos administrator can remove your account directly from the App.
  2. Email Tailos Support: Email support@tailos.com from the email address associated with your account, use the subject line "Account deletion request," and include your full name and the name of your property. If you no longer have access to that email address, email us anyway and we will verify your identity another way.

We will reply to confirm your request and email you again once it is complete. You do not need the App installed to make a request.

What is deleted: We permanently remove your first and last name, email address, phone number, job title and role, notification preferences (including SMS or email alert settings), and your sign-in credentials and login account. This information cannot be recovered, and you will no longer be able to sign in to the App.

What is kept: We keep records about robot cleaning activity at your property, such as when a robot ran, how long it ran, how much area it covered, and how it performed. This data describes the robots and the property, not you, and is not linked to your name, email address, or phone number after your account is deleted. App usage and diagnostic data is kept for the periods described in the Data Retention section. We may also keep limited information where required by law.

We aim to complete deletion requests within 30 days.

9. Security

We use administrative, technical, and physical safeguards designed to protect your information, including:

  • Encryption of data in transit between the App and our servers (HTTPS/TLS)
  • Managed authentication through Amazon Cognito
  • Role- and property-based access controls, so users can only see data for the properties they are authorized to access
  • Restricting internal access to authorized personnel who need it to do their jobs

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

10. Your Choices and Rights

Choices in the App:

  • Update your profile information in the App's Profile section
  • Turn SMS notifications and alert types on or off in Notification Preferences

Privacy rights: Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Delete your information
  • Receive a copy of your information in a portable format
  • Object to or restrict certain processing
  • Withdraw consent where processing is based on consent

This includes rights under the California Consumer Privacy Act (CCPA), as amended, other U.S. state privacy laws, and, where applicable, the EU and UK General Data Protection Regulation (GDPR). We will not discriminate against you for exercising these rights.

To make a request, contact us using the details below. If your account is managed by your organization, we may refer your request to your organization or work with them to respond. You may authorize an agent to make a request on your behalf where the law allows.

If you are in the EEA or UK, you may also lodge a complaint with your local data protection authority.

11. International Data Transfers

Tailos is based in the United States, and the App's data is primarily stored and processed in the United States. If you use the App from outside the United States, your information will be transferred to and processed in the United States, where data protection laws may differ from those in your country. Where required, we use appropriate safeguards for these transfers.

12. Children's Privacy

The App is a workplace tool intended for adults. It is not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

13. Changes to This Policy

We may update this policy from time to time. When we do, we will change the "Last updated" date above and, for material changes, provide notice in the App or by other appropriate means. Your continued use of the App after an update means the updated policy applies.
